Set up and manage approval processes by assigning designated approvers to review and approve requests before they are processed.
Follow the steps below to create and manage an approval workflow.
Step 1: Create a Workflow
Click Approval Workflow from the side menu, then select Create Workflow.
Step 2: Select the Applicable Department
Select the relevant department(s) for the workflow and click Create Workflow.
You can select:
- A single department if the workflow applies only to that department.
- All Departments if the workflow should apply across the organization.
Step 3: Set Up Approvers
Select the approver type and add the appropriate administrator(s) to the workflow.
You can choose between:
- Single Approver: Assign one administrator who must approve the request before it moves to the next step or is completed if there are no additional approvers.
- Multiple Approvers: Assign multiple administrators where any one of the assigned approvers can approve the request before it moves to the next step or is completed if there are no additional approvers.
- Line Manager: Enable the Line Manager option where applicable to allow an employee's line manager to approve the request.
For workflows with multiple approval levels, add approvers in the required sequential order. The workflow will follow the approval levels from Level 1 through to the final level.
Additional Workflow Settings
Enable Line Manager Approval:
The Line Manager option allows an employee's line manager to approve a request where applicable.
Line managers are assigned from the Department tab in the Employee Directory. You can open a department to view or change the assigned line manager, or assign a new one.
Rename a Workflow:
You can rename an approval workflow chain to make it easier to identify and manage.
Approval Sequence:
Approval workflows follow a sequential process based on the order in which approvers are configured. Approval starts at Level 1 and continues through each level until the workflow is completed.
If an approver declines a request, the workflow stops and the request does not proceed to the next approval level.
Edit a Workflow:
You can edit the workflow settings or change the assigned approvers at any time.
Duplicate a Workflow
You can duplicate an existing workflow to copy its approvers and workflow settings. After duplicating the workflow, you will need to select the department(s) the new workflow should apply to.
